Functions of the Table Office

First Sitting of Parliament

Duties pertaining to summoning of the First Sitting of a new Parliament after General Elections:

1.

Obtaining the list of Names of newly elected MPP from the Commissioner of Elections

   
2.

Conducting an Information Desk for the use of MPP and collecting personal particulars in order to prepare the Oath papers, dockets and the mailing list

   
3.

Preparing the Order of Business according to Standing Order Nos. 1 & 19 and the Memorandum to MPP

   
4.

Making all arrangements for the election of a new Speaker, Deputy Speaker and Deputy Chairman of Committees

   
5.

Preparation of Ballot papers

Day-to-day responsibilities

1.

Order Book and Addendum

The Order Book is a document complied in all 3 languages which give notice to MPP of matters to be taken up by the House in the future. It also includes Motions and Orders set down for particular days and notices of Motions for which no date has been fixed.

Addenda are issued as supplements to the Order Book as and when necessary to give notice of Motions and Questions in Parliament.

   
2.

Order Paper

The Order Papers are the agenda for the day's Sitting of Parliament prepared, printed and posted to all the Ministries, MPP, and all the Secretaries to Ministries and Media.

   
3.

Documents Presented

Copies of all documents presented in Parliament by Ministers, such as Reports from Committees, Annual Reports of Corporations and Statutory Bodies, Annual estimates, Gazetted Resolutions, Orders, By-Laws etc. are supplied to the Members of Parliament.

   
4.

Order of Business

On every Sitting day, the program of the Chamber is arranged according to the Standing Order 19. A separate docket is prepared for the Hon. Speaker, Deputy Speaker, and Deputy Chairman of Committees, Secretary-General of Parliament, Deputy Secretary-General and Assistant Secretary-General. Before the commencement of Sittings, they are all briefed by the Assistant Director-Administration. It is also a duty of the officers of this Office to follow the proceedings of the House from the Officials' Box.

   
5.

Minutes of Parliament

Minutes of Parliament, which is a summary of all proceedings that take place within the Chamber, are prepared in all 3 languages and issued for Official purposes.


Meetings of Party Leaders and Committee on Parliamentary Business

To summon meetings of Party Leaders and Committees to discuss Parliamentary Business, as directed by the Hon. Speaker.

Parliamentary Questions

To receive Parliamentary Questions from MPP and process them to be answered in Parliament by the relevant Minister who is responsible for the Ministry to which the question was directed.

Private Members' Motions

Private Members' Motions are received from MPP and processed for discussion in Parliament on every first Friday of the First Sitting week of the month.

The Table Office is also responsible for the following duties:

1.

Attending to the Ceremonial Opening of Parliament.

   
2.

Summoning of Parliament under Standing Order 14.

   
3.

Taking action to summon Parliament in accordance with the proclamation when Parliament is dissolved, by a proclamation of His/Her Excellency the President.

   
4.

Supplementary estimates.

   
5.

Preparing announcements in respect of determinations of the Supreme Court and translating these announcements.
